The filing of applications for getting accounts on resources of the Gauss Centre for Supercomputing e. V. (GCS), the John von Neumann Institute for Computing (NIC), the HPC Partition of the Jülich Aachen Research Alliance (JARA) by the applicant (hereinafter user) is solely by electronic means via this online portal. When you use this service, personal data are only saved to the extent required to enable access to and usage of the supercomputing systems, for managing compute and data project’s members and resource usage by principle investigators, for requested webservices, and for internal statistical purposes. Data will not be utilized for any other purpose.

Processed personal data are subject to the applicable data protection provisions, in particular to the EU General Data Protection Regulation (GDPR), the Federal Data Protection Act (BDSG), and the German Telemedia Act (TMG).

In the following, we inform you in detail of the type, scope, and purpose of the collection and use of personal data.

Webservices can store additional data needed to assure correct operation of the service and requests to the service.

Each time a user accesses this online portal, details of the visit are saved in server log files. The log files save the time of access, the IP address, and the URL accessed. To simplify login, cookies may be used. Cookies save a session ID in a text file on your computer which enables the login status to be managed within the online portal.

6. Persons and bodies who have access to the data

User and system administrators (of the supercomputer resources and webservices) at JSC are given access to the personal and application data described in Sections 5.1 and 5.2. Principle investigators and project administrators of the connected projects are given access to the personal and application data defined in Sections 5.1 and 5.2 in order to accept account applications and manage the project.

7. Time limits for the erasure of data

Server log files are only saved for as long as they are needed to assure a smooth processing of requests to the portal, with the exception of copies for archiving purposes in compliance with universally binding legal provisions.

The portal account is deleted on request or if no valid contact data is available anymore (see contact data validation). During deletion access to all connected webservices and further resources are also deleted.

For a full and reliable statement on the utilization of supercomputer resources, project data and thus also accounting data must be saved at least until the relevant computer system has been shut down.

The data are stored on a database server. Only authorized employees have direct access to this database.

Contact data validation: Contact data are validated. A differentiation is made between persons in active projects, i.e. projects whose allocation period has not yet ended and/or for which not all reports have been submitted, and persons in inactive projects. The contact data of persons in active projects are validated once a year. These contact data must be actively confirmed by users or updated if they have changed. If within one year, a person applies for computing time or for an extension, the period for validating the contact data of this person is extended by one year. Until their data is deleted, persons in inactive projects are informed once a year of the contact data that has been saved on them in order to simplify applications for extensions; they can confirm or amend these data or request their deletion.

Personal data will not be transferred to government bodies or public authorities except in order to comply with mandatory national legislation or if the transfer of such data should be necessary in order to take legal action in cases of attacks on our network infrastructure.

8. Your rights

In accordance with Art. 15, 16, and 17 GDPR, you have the right of access at any time and free of charge to your saved data, their origin and recipients, and the purpose of data processing as well as the right to rectification, restriction, or erasure of data associated with you.

You have the right to withdraw this consent at any time in accordance with Art. 7 GDPR without affecting the lawfulness of processing based on consent before its withdrawal.
